Please read these Terms and Conditions carefully before booking an Annapurna Base Camp Trek with us. Completing a booking, online, by email, or in person, constitutes your full acceptance of these terms.
About Us
We are a government-registered trekking agency in Pokhara, Nepal, licensed by the Nepal Tourism Board. We specialize in guided trekking experiences in the Annapurna Conservation Area. All guides employed by our agency hold valid Nepal government trekking guide licenses.
Booking and Confirmation
- A trek booking is confirmed upon receipt of a 30% non-refundable deposit of the total trek cost.
- The remaining 70% balance is due 14 days before the trek departure date.
- Bookings made within 14 days of departure require full payment at the time of booking.
- A booking confirmation email is sent within 24 hours of receiving your deposit. This email constitutes your official trek reservation.
Pricing and Inclusions
- All trek prices are quoted in USD and include the services specified in your booking confirmation.
- ACAP permit fees and TIMS card fees are included in our package price unless explicitly stated otherwise in your itinerary.
- Prices do not include international airfare, Nepal visa fees, personal travel insurance, personal trekking equipment, or gratuities for guides and porters.
- We reserve the right to adjust prices due to Nepal government-mandated permit fee changes, fuel surcharges, or currency fluctuations exceeding 10% from the booking date.
Cancellation Policy
We understand plans change. The following cancellation terms apply:

The 30% booking deposit is non-refundable under all circumstances.
Itinerary Changes and Trek Modifications
- We reserve the right to modify the trek itinerary, including route, accommodation stops, and daily distances, when weather conditions, trail safety, or natural events make the original itinerary hazardous.
- Route modifications made for safety reasons do not constitute grounds for a refund or price reduction.
- Trekkers who voluntarily shorten or abandon the trek due to personal reasons, fitness concerns, or altitude sickness are not entitled to a partial refund for unused trek days.
- We do not guarantee summit views, specific weather conditions, or visibility at Annapurna Base Camp (4,130m). Mountain weather is inherently unpredictable.
Trekker Responsibilities
Every trekker accepts the following 6 responsibilities upon booking:
- Maintaining adequate physical fitness for moderate-to-challenging high-altitude trekking
- Carrying valid travel insurance with helicopter evacuation coverage above 4,000m
- Disclosing pre-existing medical conditions, including heart, lung, or blood pressure conditions, before the trek departure
- Following guide instructions at all times, particularly above 3,500m where altitude risk increases
- Carrying a valid passport and all required permits on the trail at all times
- Respecting the cultural practices, wildlife, and environment of the Annapurna Conservation Area
Health, Safety, and Altitude Risk
- Trekking above 3,500m carries inherent altitude risk, including Acute Mountain Sickness (AMS), High Altitude Pulmonary Edema (HAPE), and High Altitude Cerebral Edema (HACE).
- Our guides carry basic first aid equipment and pulse oximeters. They are trained to recognize altitude sickness symptoms and initiate descent when necessary.
- Emergency helicopter evacuation decisions are made by our guide in consultation with the trekker. Evacuation costs are borne entirely by the trekker and their insurance provider.
- We strongly recommend carrying Diamox (acetazolamide) after consulting your physician before departure.
Permits and Legal Compliance
- Both the ACAP permit and TIMS card are mandatory for the Annapurna Base Camp Trek. We arrange both documents as part of our service.
- Trekkers must carry printed copies of all permits on the trail. Digital copies are not accepted at remote checkpoints.
- A government-licensed guide is legally required for all foreign trekkers in the Annapurna Conservation Area under Nepal’s 2023 trekking regulation. Solo trekking is not permitted.
- Any trekker found violating ACAP conservation rules, including littering, wildlife disturbance, or camping outside designated areas, bears full legal responsibility under Nepal law.
Travel Insurance
Travel insurance with the following coverage is mandatory for all trekkers:
- Medical treatment and hospitalization
- Emergency helicopter evacuation above 4,000m
- Trek cancellation and curtailment
- Loss of personal belongings
Proof of insurance must be submitted before trek departure. We reserve the right to refuse trek commencement without valid insurance documentation.
Limitation of Liability
- We act as a licensed service provider arranging guided trekking experiences. We are not liable for injuries, illness, death, loss, damage, or additional expenses arising from natural disasters, extreme weather, trail closures, political events, or individual health conditions.
- Our maximum liability to any trekker is limited to the total amount paid for the trek booking.
- We are not responsible for losses arising from airline delays, flight cancellations, or transportation disruptions affecting trek departure dates.
Force Majeure
We bear no liability for failure to deliver services caused by events beyond our reasonable control, including earthquakes, landslides, avalanches, government-imposed trail closures, pandemics, or political unrest in Nepal. In force majeure situations, we offer a trek credit valid for 12 months as an alternative to a monetary refund.
Complaints and Disputes
- Complaints during the trek must be reported to your guide immediately so corrective action is taken on the trail.
- Post-trek complaints must be submitted in writing within 14 days of trek completion.
- These Terms and Conditions are governed by the laws of Nepal. Any dispute arising from a booking is subject to the jurisdiction of the courts of Kaski District, Pokhara.
Governing Language
These Terms and Conditions are written in English. In the event of translation into another language, the English version takes precedence in all legal interpretations.
Updates to These Terms
We update these Terms and Conditions when our services, pricing structures, or Nepal’s trekking regulations change. The updated date at the top of this page reflects the current version. Continued use of our booking service after updates constitutes acceptance of the revised terms.
